Can you tell us about the origins of e-prot?

e-prot was created in 2005 as an electronic document filing & management system for the Public Administration sector.
The regulations introduced in 2000, relating to an “Electronic Document Management System”, in fact, laid down a set of obligations and rules for the filing and registration of all incoming/outgoing documents in the Public Administration.
e-prot was also developed in response to a much-felt need to introduce open source solutions, to reduce the cost of products and invest more money in assistance and training.
The Calabria-based branch of AlmavivA developed the e-prot system fully consistently with the applicable regulations and technical specifications laid down by the CNIPA (Government IT Agency): one of AlmavivA’s first significant experiences in the development of an open source solution.

What were your goals?
 
First and foremost, the dematerialization (or digitization) of paper documents and archives: through the use of barcodes we can create digital repositories allowing fast and simple searches with maximum security, guaranteed by strict user profiling criteria.
 
And how has the project evolved?
 
From an electronic document filing & management system, over the years e-prot has become a fully-fledged ECM - Enterprise Content Management solution for filing and sharing e-Contents in any format and following the related flows.
 
And what about its commercial development?
 
The first important clients were the Ministry of the Interior, the Prefectures, the Ministry of Foreign Affairs, the Roma C Area Health Authority,  followed, over the years, by the SIN, the Ministry of Agriculture and Forestry, the State Forest Police, the Public Procurement Authority (AVCP) and various social security organizations.
A strong point of e-prot is its compatibility with the various operating systems adopted by the clients, which has undoubtedly boosted its sales. This means that, today, our solution can be installed on all systems – open source, Windows, Mac – consistently with our client’s needs, without any invasive or expensive impacts.
 
Can you give us a few figures?
 
To date, no less than 13 government entities are using e-prot, amounting to a total of 500 Uniform Organizational Areas and over 120,000 users. We can safely say that e-prot has become a benchmark electronic document filing & management system for government, with an enormous potential for growth in this market.
 
And in the private sector?
 
e-prot has evolved into an all-round content management solution adopted by the entire AlmavivA Group.
A significant reference – due to the complexity and size of our Group – confirming that e-prot is an effectively modular and scalable solution, capable of fully meeting the needs of both small and medium businesses and large companies and groups like ours.
 
The new goals of and outlook for e-prot?
 
The first objective we have been working on is streamlining access to mobile platforms; we have already created a version for iPad and iPhone, to consult documents from any location. And for those who still prefer the “paper effect”, there’s an eBook version too. e-prot’s evolution is focused on enhancing document portability and user-friendliness.
Besides businesses, we believe that the mobile version of e-prot can also be of interest for professionals who need to consult large amounts of documents away from their office, quickly and in a user-friendly way. For example, lawyers, physicians, architects, but also journalists and editorial offices, for whom entire archives can be just a touch screen away.
We are moving in this direction too.
